Cancellation Terms and Procedures

1. General Cancellation Terms

Cancellations must be made in writing (email or letter) and will be effective from the date we receive your cancellation request. Cancellation charges are calculated based on the total tour cost and timing of cancellation.

⚠️ Important Notes

  • All cancellation charges are per person
  • Weekends and public holidays are not counted in notice periods
  • Date of cancellation request receipt determines applicable charges
  • Refunds will be processed within 7-10 working days after deducting applicable charges

2. Domestic Tour Cancellation Charges

Prior to 30 days of departure 25% of total tour cost or booking amount (whichever is higher)
30-15 days before departure 50% of total tour cost
15-7 days before departure 75% of total tour cost
Within 7 days of departure 100% of total tour cost (No Refund)
No Show / Departure Day 100% of total tour cost (No Refund)

Peak Season Domestic Tours

Peak Periods: Diwali, Christmas, New Year, School Holidays

  • Prior to 45 days: 50% of total tour cost
  • 45-21 days: 75% of total tour cost
  • Within 21 days: 100% of total tour cost (No Refund)

3. International Tour Cancellation Charges

60-45 days before departure 50% of total tour cost
45-21 days before departure 75% of total tour cost
Within 21 days of departure 100% of total tour cost (No Refund)
No Show / Departure Day 100% of total tour cost (No Refund)

Special International Destinations

Europe, USA, Australia, Japan: Higher cancellation charges apply

  • Prior to 75 days: 50% of total tour cost
  • 75-45 days: 75% of total tour cost
  • Within 45 days: 100% of total tour cost (No Refund)

4. Special Cancellation Scenarios

Visa Rejection

  • Original visa rejection letter must be provided
  • Cancellation charges: ₹10,000 + applicable service charges
  • Airline cancellation charges as per airline policy
  • Hotel and other supplier charges as applicable

Medical Emergency

  • Medical certificate from registered doctor required
  • Cancellation charges: 25% of tour cost + supplier charges
  • Travel insurance claims may cover medical cancellations

Flight Delays/Cancellations

  • If caused by airline: Minimal processing charges (₹2,000 per person)
  • Alternative arrangements provided when possible
  • Additional costs for extended stays borne by customer

5. Group Booking Cancellations

Group Size Reduction

  • 10+ persons: Individual cancellation charges apply
  • Entire group: Group cancellation charges may apply
  • Cost revision: Prices may increase if group size falls below minimum

Corporate Bookings

  • Special terms may apply as per corporate agreement
  • Credit notes valid for 12 months may be issued
  • Flexible rescheduling options available

6. Cancellation Due to Force Majeure

In case of cancellations due to force majeure events:

  • Natural disasters: Full refund minus non-refundable supplier costs
  • Government advisories: Credit note valid for 24 months
  • Political unrest: Rescheduling options provided
  • Pandemic restrictions: Flexible policies as per government guidelines

7. Refund Process

Refund Timeline

  • Domestic Tours: 7-10 working days
  • International Tours: 15-21 working days
  • Credit/Debit Cards: 5-7 working days after processing
  • Bank Transfer: 2-3 working days after processing

Required Documents

  • Original booking confirmation
  • Copy of ID proof
  • Bank details for refund (if different from payment method)
  • Cancellation form (available on request)

8. Partial Cancellation

  • Service-wise cancellation: Individual supplier terms apply
  • Date changes: Treated as cancellation + new booking
  • Hotel changes: Subject to hotel cancellation policy
  • Flight changes: Airline change fees apply

9. Travel Insurance

Travel insurance can protect against:

  • Medical emergencies and trip cancellations
  • Flight delays and missed connections
  • Baggage loss and trip interruptions
  • Emergency evacuation and repatriation

Note: Insurance must be purchased within 48 hours of booking
